Privacy Policy

What we collect
When your resort uses SlopeHQ, we collect:
- Account information — name, email address, and password (stored hashed, never in plain text).
- Employment details — role, department, reporting manager, start date, job title, and any personal info fields a staff member chooses to add (birthday, phone, address, emergency contact).
- Clock events — timestamps for clock-in, clock-out, and breaks, the department and device involved, and the signal strength reading that triggered an automatic clock event.
- Proximity data — SlopeHQ detects broadcasts from your resort’s own registered device in order to clock staff in and out automatically. This is proximity detection, not GPS or continuous location tracking: it only recognizes your resort’s device (nothing else nearby), and only while the app is open and in the foreground, never in the background.
- Schedule and time-off data — assigned shifts, shift swap and drop requests, and time-off requests and approvals.
- Communications — department chat messages and direct messages between staff, sent through SlopeHQ.
- Profile photos — if a staff member chooses to upload one.
Who can see it
Every resort’s data is isolated from every other resort’s. Within a resort:
- Super admins and admins can see all staff, departments, clock events, schedules, and reports for the whole resort. An admin’s ability to change things is limited to what a super admin has specifically granted them, but visibility extends to everything.
- Managers can see and manage their own department only.
- Employees can see their own clock history, schedule, personal info, and messages sent to or from them.
- Department chat is scoped to that department (managers and employees only see their own); direct messages are private between the two people in the conversation, with one exception below.
- Admin access to communications: super admins, and any admin specifically granted this permission, can read every department chat and direct message within their resort. This is disclosed to every staff member before they can send a message, and again anytime in their Account settings — it is not indicated on individual messages. This access exists for safety, compliance, and operational reasons, the same way an employer-provided email or chat system typically works.
SlopeHQ staff can access data as needed to operate, secure, and support the service. We do not sell personal data, and we do not use it for advertising.
How long we keep it
We retain data for as long as your resort’s account is active, so historical timesheets and schedules remain available for payroll and reporting. If your resort closes its account, contact us to request deletion of its data, subject to any records we’re required to keep for legal or accounting reasons.
Your choices
Staff can review and update their own personal info from the Account tab in the app at any time. To request a copy of your data or ask us to delete it, contact your resort’s admin (who controls your account) or reach us directly at privacy@slopehq.app.
